Submitting a request is not a confirmed booking. Finishing the price calculator or sending a request does not reserve a date. A job is booked only when you sign and return the service agreement. The version you accept at submission governs that request.
1. What a booking request is
Submitting a request asks depthNest to schedule a capture inside the earliest–latest window you chose. It is not a confirmed booking, and the calculator total is not a booked job. We review coverage and reply from hello@depthnest.com within one business day with a proposed date and a service agreement. A job is booked only when you sign and return that agreement. Until then you may withdraw by email at no cost.
2. Pricing
Prices shown in the calculator and on your request are quotes based on the interior square footage you enter, per building, using our current rates at the time of your request. They are not final until after capture, when measured interior area is known (see measured area below). We do not publish per-square-foot rates; the calculator gives you your quoted price. Add-ons are priced as shown. Items marked quoted and travel outside our staffed metros are quoted at confirmation, never added after capture.
For commercial and industrial captures, tags may appear on your quote. Six tags are included when you submit a tag data sheet; purchased tags are billed on the quote. Tell us what to tag and we build them after capture. A client who never submits a sheet gets zero tags. Included (unpaid) tags close five business days after delivery; purchased tags close thirty days after delivery. Documents stay in your storage and are linked — we never upload customer files to Matterport.
2b. Measured area and price adjustment
Your quote is calculated from the interior square footage you enter, per building. That quote is not the final capture price until after the job: our capture platform measures the interior floor area of the spaces captured, across all levels; that measured figure is delivered with your files. If the measured area is within the greater of 5% or 500 square feet of the figure you entered, your price does not change. Outside that tolerance, we recalculate your capture price at the same rates on the measured area and invoice or credit the difference, with the measurement attached. If the measured area exceeds the entered figure by more than 50%, the operator may pause before capture so we can re-quote with you on site; if you decline the revised quote, the trip fee in your service agreement applies. Garages, exterior areas and any spaces excluded from capture are not counted.
3. Rush windows
If the latest date in your requested window is within 14 days of your request, it is a rush window and a rush fee is shown on your quote. Rush scheduling is not guaranteed. The rush fee is charged only if we confirm a capture date inside that window. If we offer a later date and you accept it, no rush fee applies.
4. Payment, paperwork, and cancellation
No payment is due to submit a request. When we propose a date we send a service agreement; any deposit, the balance schedule, and cancellation and rescheduling terms for the job are set in that agreement. A job is booked only when that agreement is signed and returned — not when you finish the calculator or send a request. The proposed date is held for 48 hours pending your signature. Before that, you may withdraw your request at any time by email at no cost.
5. Site readiness and access
On the confirmed date you are responsible for: access to every area to be captured, unlocked doors, lighting on, safe conditions, and notice to occupants. Areas that cannot be accessed at capture time are excluded from the deliverables. If the operator cannot access the site at the confirmed time, the trip fee stated in your service agreement applies and the capture is rescheduled. We capture what is present; we are not responsible for personal items, people, or conditions visible in the space, and will blur reasonable items on request.
6. Deliverables, review, and acceptance
Deliverables are those named on your quote, in the formats stated, delivered by share link within 24 to 48 hours of capture unless otherwise agreed. You have 5 business days to report capture defects — missing areas that were accessible, misalignment, or corrupted files — and we will correct them at no charge. Preferences about appearance, furnishings, or lighting conditions present at capture are not defects. After 5 business days deliverables are accepted.
7. Ownership, hosting, and data
On payment in full you own the deliverables. We host the 3D model for 12 months from delivery; hosting after that is available at the rate shown at booking, with 30 days’ notice before expiry. Balances unpaid past the due date in your service agreement may result in suspended hosting and share links until paid. We retain raw capture data for 90 days after delivery. Unless you opt out in writing, we may reference the project in our own materials without identifying your company or address.
8. Liability
Our total liability for any job is limited to the amount you paid for that job. We are not liable for decisions made from deliverables, for conditions on site, or for delays outside our control.
8b. Communications
We send job-related messages by email. Where you provided a mobile number and opted in on the request form, we may also text you about that capture, including operator arrival updates. This summary governs booking requests. Larger engagements may be covered by a signed services agreement, which prevails where they differ.
