Plain language about what we collect when you book a capture, run a job, or opt into texts.
1. Who we are
depthNest provides 3D capture and coordination. Contact: hello@depthnest.com.
2. What we collect
Depending on how you use the site or work with us, we may collect:
- Booking and quote details: name, company, email, phone, preferred contact notes, purchase order number, accounts payable email when you give them.
- Site addresses and building facts you enter (type, square footage, add-ons, tags).
- Capture data and deliverables: Matterport models, measured area, share links, tag sheets, and related job files.
- Payment and contract records through Stripe and our agreement tools (PandaDoc).
- Operator profile data: name, email, phone, metro, insurance and tax documents, kit custody photos, time records.
- Device location for operators only while they are on an active job and only to compute arrival windows or prove on-site status. We do not track operators in the background when they are off a job.
- SMS consent records: which boxes you checked, the exact wording and version, timestamp, form, and IP when available.
- Saved quotes: the quote and the email you give so we can send the link back.
- Scoping-call details: name, email, company, and the questionnaire you fill on the calendar.
- Business contact details used for outreach: name, role, company, and a work email. These do not come from the booking form.
- Basic site storage needed to run the site (see below).
3. Why we use it
To quote and schedule captures, send agreements and invoices, dispatch operators, deliver files, support quality review, pay operators, improve the product, and send messages you asked for. We do not sell personal information.
4. How long we keep it
Job and billing records are kept for the life of the customer relationship and as long as tax and contract rules require (typically at least seven years for invoices). Capture files stay in your storage or ours for as long as hosting continues under your agreement. SMS consent and STOP records are kept so we can prove what you agreed to and honor opt-outs. You can ask us to delete account data that is not required for legal or billing retention.
5. Who we share with
We share data only as needed to run the service:
- Our contracted operators for jobs they are assigned.
- Stripe for deposits and balances.
- Google (Workspace, Maps, Sign-In when enabled).
- Matterport for capture processing and hosting.
- Twilio for SMS when you opt in and our SMS feature is live.
- PandaDoc for agreements when we send documents that way.
- Cal.com for the scoping calendar on depthnest.com/scope.
- Fireflies for a transcript and summary when a scoping call is recorded.
- HubSpot for contact and deal records.
- Instantly to send outreach email from depthnestcapture.com.
Processors act on our instructions. We do not share your data for unrelated advertising networks.
6. Text messages (SMS)
We run two separate text programs. Consent for one is never consent for the other. Texting is never required to book or get service.
Transactional (job updates)
If you check the job-updates box and give a mobile number you control, we may text you about that capture: confirmation, day-before reminder, operator on the way with an arrival window, arrived, capture complete, and delivery. Frequency varies with the job, usually a handful of messages around the capture date. Message and data rates may apply.
Marketing (optional)
If you separately check the marketing box, we may send occasional depthNest updates and offers. Frequency: up to a few messages per month. Message and data rates may apply. Marketing texts are sent only between 8:00 and 21:00 in the recipient’s local time, and only as a deliberate send from our team, never as an automatic job event.
STOP and HELP
Reply STOP to opt out of texts. That permanently stops both transactional and marketing SMS to that number. Reply HELP for help. You can also email hello@depthnest.com. Carrier filters and fees are outside our control.
7. Operator location
When an operator taps “on my way” or similar during an assigned job, their device may share a current location so we can estimate an arrival window for the client. Location is used for that job event, not for continuous tracking. If location is unavailable, the operator picks a minutes-out estimate instead. Operators can revoke location permission in their device settings; the job can still proceed with the fallback.
8. Cookies and analytics
The browser stores a first-touch record (source, campaign, Google click id when present, landing page, and time) in local storage so a later booking can carry that source into our own reporting. It does not store your name, email, or street address.
When Google Ads is active, we load Google’s conversion tag only on pages that need it. A booking request conversion may send a SHA-256 hash of the email you just submitted (enhanced conversions) so Google can match the conversion more accurately. We never send your raw email address to Google or any other analytics endpoint. Quote-calculated events are secondary optimisation signals only. Phone-call conversions from ads use a Google forwarding number in the ad itself; the phone number on this site stays our published number.
We do not use advertising trackers that rebuild a profile across unrelated sites beyond what Google requires for conversion measurement you initiate by clicking an ad or submitting a form.
9. Access and deletion
Email hello@depthnest.com to request a copy of your data, a correction, or deletion where the law and our retention duties allow. We will confirm and respond within a reasonable time.
10. Changes
We may update this page. The effective date at the top will change. Material SMS program changes will be reflected here before we rely on them for carrier registration.
11. Scoping calls
A scoping call is booked on our page, which embeds Cal.com. The meeting is Google Meet. We may record the call and keep a transcript and a summary so the quote matches what was discussed. Email hello@depthnest.com before the call if you do not want it recorded.
12. Outreach email
Outreach mail is sent from jack@depthnestcapture.com or jw@depthnestcapture.com to business contacts. It is not sent from a personal mailbox. Reply STOP to opt out of further outreach from that mailbox. We do not sell those lists.
